STUDIO POLICY & PROCEDURES

Sound On Park is built to be a home for serious creativity.

Our standards protect the experience, the workflow, and the integrity of every session.

By booking studio time, you agree to the following policies.

Booking & Payment

Deposit

A non-refundable 50% deposit is required to secure your session. Deposits are non-transferable.

Balance

The remaining balance is due at the start of the session. Work does not begin until payment is received.

All Sales Final

All payments — including deposits, session fees, packages, and educational programs — are final and non-refundable.

Payment Methods

  • Credit/Debit (Visa, MasterCard, Discover, American Express) — 3% processing fee

  • PayPal — 4% processing fee

  • Venmo, Cash App, Zelle, ACH, check, money order, or cash — no additional fee

Returned checks or chargebacks incur a $75 administrative fee and may be subject to collection.

Ownership

Master recordings transfer only after full payment. Until then, all files remain the property of Sound On Park.

Expiration of Time

Prepaid time must be used within 24 months unless otherwise stated. Promotional packages may expire within 12 months. Unused time is forfeited.


RESCHEDULING & CANCELLATION

48-Hour Notice

A minimum of 48 hours’ notice is required to reschedule. Notice must be provided to (401) 236-7275.

Late Reschedule

Reschedules made within 48 hours result in forfeiture of the deposit.

Cancellations

Deposits are non-refundable.

No-Show

Failure to arrive within 30 minutes without communication results in forfeiture of all payments.

Tardiness

Sessions begin at the scheduled time. Late arrival reduces session time. Clients remain responsible for the full booked duration.

Operational Interruptions

In rare cases of technical or facility issues, sessions may be rescheduled or credited. Refunds are not issued.


SESSION PREPARATION

File Requirements

Sound On Park operates primarily on Pro Tools. Clients using other DAWs must provide consolidated stems or compatible files.

Preparedness

File issues, organization time, and preparation count toward booked time.

File Delivery

Uploading files prior to arrival is strongly encouraged.

Guests

Guests must be approved in advance. Entry may be limited for safety, confidentiality, or capacity reasons. A maximum of 4 guests allowed.


ARRIVAL & STUDIO ACCESS

Sound On Park is located on Park Ave in Cranston. Arrival instructions are provided upon booking.

Clients are responsible for personal belongings.

Minors must be supervised at all times.

Disruptive, unsafe, or visibly impaired individuals may be denied entry without refund.


IN-STUDIO STANDARDS

Food & Drinks

Food and beverages must be kept away from equipment. Clients are responsible for any damage caused by spills or negligence.

Equipment & Safety

Only engineers may operate studio equipment unless instructed otherwise.

File Handling

All editing, exporting, and file transfers must occur within booked time.

File Delivery

Session files delivered via cloud must be downloaded within 14 days. Re-uploads incur a $50 minimum fee.

Raw Session Files

Raw session file requests require a client-provided drive. Post-session incur a $50 preparation fee.

Filming Policy

Filming is permitted if disclosed in advance and conducted respectfully. Filming staff without consent, recording screens or session data, or creating disruptive content is prohibited.

Engineer Authority

The assigned engineer maintains full authority over technical workflow and safety procedures.


POST-SESSION

Communication

Creative follow-up is welcome. All revisions or additional work must be scheduled.

File Retention

Session files are retained for six (6) months. Clients are responsible for backups.

Mix Revisions

Mix revisions are billed at a $50 minimum (up to 30 minutes). Standard hourly rates apply beyond that time unless included in a package.


GENERAL POLICIES

Smoking

Smoking is prohibited inside the facility. Designated outdoor areas may be used where permitted.

Prohibited Items

Illegal substances, firearms, weapons, or hazardous materials are strictly prohibited on the premises.

Right to Refuse Service

Sound On Park reserves the right to refuse or discontinue service at any time for reasons including safety concerns, policy violations, professional incompatibility, or operational integrity. All payments remain non-refundable.

Confidentiality

All recordings and client information are treated as confidential. Unauthorized recording, live-streaming, or disclosure of private session details is prohibited.

Brand Usage

Use of the Sound On Park name, logo, or imagery for promotional materials requires prior written approval.
